Using Zoho Writer’s HTML Options

Of Zoho Writer’s HTML options, one is to see the HTML code version of a document by clicking on the ‘Toggle HTML source’ icon at the far-right of the Zoho Writer toolbar’s second row. Previously, the HTML code was pretty much unreadable. But now it is indented & if you are a power HTML user, can easily modify it. Also, the HTML code is classified as Head, Body & Styles sections for ease of use. (you can apply your own style by specifying your own style sheet and that gets reflected in the ‘Styles’ section)

The ‘Insert HTML’ icon that can be of much use too. You can insert a sheet or chart from Zoho Sheet, a slideshow from Zoho Show or a video from YouTube. The advantage of inserting from Zoho Sheet and Show is that whenever the data in the original sheet or show changes, it gets automatically reflected in the Zoho Writer document.

Try playing with the HTML options available in Zoho Writer.

HowTo : Use Zoho CRM to Send a Newsletter

Needless to say, we are heavy users of the various Zoho apps ourselves. Most of our help docs are on Zoho Wiki. We embed Zoho Show slide shows in our blog posts (even this post has one embedded below). Let me give you a latest example. We recently reached the 1 million user mark and wanted to share this glad news to our Newsletter subscribers. Here’s how we did/do it :

  1. When a user chooses the ‘Subscribe to Zoho Newsletter’ check box when he/she registers, they are added to our Zoho CRM contacts or leads list.
  2. When time comes to send the Newsletter (monthly), we log on to our Zoho CRM account, make an email template and save it
  3. Then select all the contacts who are to be emailed
  4. Schedule when to send the email
  5. A couple of points to be noted : a) A Newsletter is typically HTML formatted and some email clients strip off formatting. So it is safe to have a version of it hosted online and point to it in the newsletter email you send. We have an online version of the Newsletter as a Zoho Writer public document. b) We have an ‘Unsubscribe’ link at the bottom of each mail. Submitting your email address there will directly opt you out of the Newsletter subscriber list that we maintain in Zoho CRM
  6. Lastly, we use Zoho Mail internally. And the filters/folders option there allows us to get the Newsletter related replies (genuine replies, bounced/undelivered mails, Out of Office/Vacation replies, auto-responses etc) segregated so that we can attend to each one of them easily.

We will be sharing more such scenarios of how we are using Zoho within our organization.

Zoho Writer Update : Issues related to Safari browser fixed

We had a minor Zoho Writer update in which the issue of document content not getting displayed in Safari Browser on a Mac has been fixed. Users who have reported this particular issue in the past couple of days can try accessing Zoho Writer documents in their Safari browser and the content should come up fine for editing in the Writer editor.

Zoho Writer provides limited support for Safari browser as of now and hence some of the feature may behave inconsistently in it. We suggest Mac Users to access Zoho Writer on Firefox 2.0+ browser versions for a better experience. Full support for Safari browser will be provided in our next series of updates. It’s in the works right now.

Syncplicity Integrates Zoho

Syncplicity, a document synchronization tool integrated Zoho into their application recently. This Sync tool lets you synchronize your documents from your desktop (PC-only currently) to their web application.

If you have Syncplicity installed on your computer, you can right-click on a document on your desktop and choose  the ‘Edit in Zoho’ option for editing your document. This opens up a window with the Zoho document editor. When the ‘Save’ button is hit in Zoho editor, it saves the file to your local folder and also your Syncplicity account, thus keeping your document in sync. This works with Zoho Writer & Zoho Sheet Apps now with Zoho Show to follow.

Similar editing option is also available in their online application to edit documents online. After you save the changes, the documents are saved on their servers.

And here’s a nice screencast done by the Syncplicity team, demonstrating the integration.

We’d like to thank Syncplicity for integrating Zoho. Our other API Partners are here. If you have integrated Zoho into your application, do let us know so that we can profile you here and list you as a partner in our partners page.

Sharing Options in Zoho

Here’s a question (with variations of it) we get from the first-timers of Zoho.

I have a document/spreadsheet/presentation that is to be emailed every time to a ‘prospect/client’ or to my ‘boss/peers/co-students/teacher for review’. In the former instance, “I don’t want the doc to stay in my prospect/client’s inbox (as documents soon become obsolete)”. And in the latter instance, “I and my boss/peers/co-students/teacher end up having multiple versions of the file, adding to my/their email clutter”. How can Zoho help me here?

Well, this is one of the fundamental problems solved by Zoho. Let’s say you have a .doc or .odt file. You have a few options in Zoho that would make things easier for you.

  • Import your document into Zoho Writer
    • Share it by giving the email addresses of your prospect/client, boss, peers, co-students or teacher. They will receive an email with a HTML link (URL) which they can click on to view the document. They can edit the document too, directly inside Zoho Writer if you have given them proper permission
    • Make the document public (if it doesn’t contain anything confidential) and give the URL to anyone who would like to view it.
  • Upload your document to Zoho Viewer. You get a URL which you email to everyone concerned & they can view it. Use the Zoho Viewer option judiciously - there’s an option where you can choose the URL to expire after a certain time period

Here’s a short screencast (our first attempt. bear with the video/audio quality please!) explaining the above options. For better clarity, view the video in Full Screen mode.

There are other advantages too.

  • No compatibility issues that come with using different types and versions of desktop software
  • You can keep updating your document and the latest version’s available for your prospect, client or whoever you want it to be viewed
  • Live collaboration is possible - you and your collaborators can work on a document or spreadsheet in real-time
  • And, you can chat too (using the embedded Zoho Chat)

Use Zoho. Say NO to email attachments.

Maximizing the Zoho Writer Editor

Here’s a query we often get from our Zoho Writer users :

How do I increase/maximize the editing (working) area in Zoho Writer? (or) How do I make Zoho Writer behave like a desktop word processor?

You have quite a few ways to get more writing area.

  • The left/right margins are 10% each by default. Minimize them (you can easily drag them) to get more space
  • Click on the Maximize Editor icon writer-maximize-editor.jpg , found next to the Delete button at the top-left of the Zoho Writer toolbar. You will find the left panel that lists your documents give way to more editing area. You can click on the same icon (which is now Minimize Editor) to return to the default editor.
  • Click on Options -> View Buttons. You can uncheck some of the button groups that you don’t typically use. This depends on your word processing needs
  • Click on the F11 button (for both Firefox & IE). This will result in the tool & menu bars at the top / bottom disappear and the screen area getting larger
  • Use Mozilla Prism. Since each web application runs in its own window, Prism mimics a desktop-like experience. You can combine Prism with the above options to get more screen area

Equations, LaTeX and Vanishingly Small Probabilities

As we announced yesterday, Equation Editor (with LaTeX support) is the latest feature in Zoho Writer. This one has deep personal relevance to me. My first “programming language”, in the sense that I wrote a lot of code, was actually LaTeX. It is a programming langauge for accurate typesetting of documents, that in many ways anticipated developments like HTML/CSS.

As a graduate student at Princeton, I spent countless hours writing and rewriting papers for publication using LaTeX, first with inputs from my advisor, and later from anonymous reviewers at publications like The IEEE Transactions on Information Theory. Of course, my entire PhD thesis was written in LaTeX as well. The most important aspect of LaTeX I loved was its easy facility with equations. You would type in something like (Ampere’s Law - thank you Wikipedia!)

\Delta  \times  \mathbf {B} =  \mu_0  \mathbf {J} + \mu_0  \epsilon_0  \frac{\partial  \mathbf {E}}{\partial t}

and the LaTeX compiler would generate

Or the integral form of Ampere’s Law:

 \oint_{\partial S}   \mathbf {B} . d \mathbf {l}  =  \mu_0 I_S + \mu_0 \epsilon_0   \frac{d {\Phi}_{E,S}}{dt}

It was pure magic to see the compiler generate such beautiful forms. I spent four years of life with equations like that - pretty much every section, every page in my thesis had them. As a graduate student, I used to wonder if such equations could be generated via a friendly user interface - keep in mind that MS-DOS still ruled the world at that time and graduate students like me had Sun workstations. I myself had little interest in software at that time (I was going to prove theorems, so I looked down on programming as a lowly activity!) so never pursued that thought further. If someone had predicted at that time that I would end up founding a software company one of whose key products is a word processor, and LaTeX would play a role in it, I would have just laughed the idea off as absurd or in technical terms, “of vanishingly small probability”, a phrase that sticks in mind after seeing those epsilons and deltas (or \epsilon’s  \ and  \ \delta’s in LaTeX terminology!). I used to practically dream in epsilons and deltas during that period - so many of the mathematical proofs depended on them being close to but not quite zero.

I am very happy to see the Equation Editor in Zoho Writer give shape to that user interface idea. There is a lot more potential in typesetting using LaTeX like ideas, and you will see us pursue them in due course.

Thinking back, what is surprising to me now is how little of my PhD I remember. I retrieved my PhD thesis from its long-forgotten closet, dusted it off, and it is all Greek to me. I can scarcely even believe it is my own work I am staring at. I used to be really, really passionate about proving theorems, so it seems even stranger that I would just completely abandon it. The only thing I would have gotten right with all my PhD training was to recognize that vanishingly small probability events can still happen.

Zoho Writer : Import from Google Docs & Equation Editor (LaTeX) support

Today’s Zoho Writer update introduces three key functionalities

  1. Import Documents from Google Docs to Zoho Writer
  2. Equation Editor
  3. LaTeX Export

1. Import Documents from Google Docs to Zoho Writer

After we accepted Google and Yahoo! sign-in to Zoho (and Google Apps accounts sign-in), we were asked to implement import capability to Zoho. We have added this feature in this update. And now you can import your Google Docs into Zoho Writer. Here are the steps :

  • Login to your Google Docs account & choose the documents that you need to export to Zoho
  • Click on More actions -> Save as HTML (zipped) to your desktop
  • In Zoho Writer, click on Import -> Import Google Docs, select the zipped file path and click Import
  • All the Google Docs documents in the zip file will be imported into your Zoho Writer account & will be displayed in the left panel

We certainly don’t want to trap your information in Zoho. We will soon provide a mass Export option to take your documents to other services.

2. Equation Editor
As you may know, a significant % of our users are students. We got a lot of requests from this user segment to build an Equation Editor into Zoho Writer. And Zoho Writer has it now.

You’ll see a new Equation Editor icon (last one in the second row of the toolbar) which brings up a simple UI to create your equations. If you are a LaTeX guru, type your equation away and we automatically generate an image of the equation on the right. If you are not a LaTeX expert (like me), you can simply select the equation symbols with your mouse and we automatically build the equation for you. Once done, the equation image is inserted into your document.

After you insert your equation, if you want to make any changes to it, right click on the image and select Edit Equation.

3. LaTeX Export
As you see in the above slide show, we support LaTeX, the document markup language widely used by mathematicians, scientists, engineers and scholars in academia. We have a new option in Zoho Writer under Export, to save such files involving equations in LaTeX format as well.

Try the new features in Zoho Writer now & we will be glad knowing your comments.

Page Setup & Page View Options in Zoho Writer

Zoho Writer provides you with quite a few page setup options. For accessing them, click on the Page Setup icon page-setup-1.jpg (third from left, first row of the Zoho Writer toolbar). The pop-up window has 3 tabs marked General, Header & Footer.

In the General tab, you can set the font face, font size, page bg color, top/bottom & left/right margins, paper size, direction (those in the Middle-East can set right-to-left for Arabic, Hebrew, Urdu etc) & line spacing. All these properties can be set for each document by default. And if you want this to be applied to every new document you create, you can check the ‘Make it default for All New Documents‘ checkbox.

In the Header and Footer tabs you can choose what to display in the Left, Middle, Right areas of the Header/Footer sections of a document.

And the icon adjacent to Page Setup is Page View. Use it to see how your page will look while it’s printed - both width-wise & length-wise (where a page ends & the next one begins). The Page View is in Read Only mode currently & we will be extending this option to Edit mode soon.

Use the above options while drafting your documents in Zoho Writer & let us know in the comments below of how it went.

Zoho Writer Search Issue, Fix

We enabled a new indexer for searching group related documents on Saturday. As with search related features, the indexer was supposed to index over several days before the feature was officially unveiled. Unfortunately, we introduced a crucial bug in the new search system, which impacted one of our users on Sunday. The search results included 4 documents from other users (shared to their own unrelated groups). As soon as we got notified, we stopped the search subsystem and started a full investigation, which unearthed the bug in 3 hours.

We fixed the issue immediately after the root cause was identified.

While the fix was applied immediately, it was something we should not have let this slip in. It should have been caught in our quality assurance process. We sincerely apologize to the affected user, and all Zoho users as well.

We work hard at Zoho to keep the system functioning well. An error like this is very painful to us, and we take it very seriously. We will be even more vigilant in future. Please accept our humble apologies.

Zoho Writer Supports Offline Editing

Just a few days after we added features like Pagination, Header/Footer etc in Zoho Writer, the team is ready with another update adding offline editing capabilities.

In August, we made Zoho Writer available offline. When we released it back then, the documents were available in read-only mode when offline. With today’s update, you’ll now be able to view and edit your documents offline. This functionality is based on Google’s open source project Google Gears. We thank them for the project and their support.|

For Zoho Writer to work offline, you’ll need to have Google Gears plug-in installed on your browser (works on Firefox 1.5+, IE 6+). Click on ‘Go Offline’ to access your documents offline. By default, we download 15 documents each from ‘My Docs’ and ‘Shared Docs’ section. You can change the default setting by clicking on the down arrow beside ‘Go Offline’ link. The documents are downloaded based on the ‘Sort Order’ in your ‘My Docs’ section.

When you are not connected to the internet, you can visit http://writer.zoho.com/offline to access and edit your documents offline. When you are back online, clicking on ‘Go Online’ will let you to synchronize the modified documents with the online versions.

The following video should give you a quick overview on how this functionality works.

For better clarity, try this video. You’ll notice that not all functionalities available online are available in offline mode. This is because some of the functionalities are online specific while others will make their way into the offline mode moving forward.

Another new feature to come as part of this update is Right-to-Left language support. We have a lot many users from the Middle-East who had been asking for this. Click on the ‘Page Setup’ icon (), the third from left on the Zoho Writer toolbar and you will see the language ‘Direction’ option in the pop-up window that opens.

Zoho Writer Major Update: Pagination, Header/Footer Support, Multi-lang Spellchecker and more…

Following a series of updates from other Zoho apps, today, we rolled out a major upgrade to Zoho Writer. The key enhancements include…

  • Pagination Support
  • Header and Footer Support
  • Spell Check in 43 languages
  • ….and more

Now, lets take a closer look at each of these features.

Pagination:
You can now view your document page-wise by clicking on the ‘Page View’ link.

zoho-writer-page-view-11.jpg

zoho-writer-page-view-2.jpg

For printing Zoho Writer documents, we recommend using the ‘Print Using PDF’ option as shown in the image above (as against using the older ‘Print Preview’, ‘Print’ option). This option overcomes the limitations in browser based printing.

Headers & Footers Support:

Another most requested feature (and often considered missing feature in online word processors) is Headers/Footers. It is now supported in Zoho Writer. You can define your Headers and Footers from the ‘Page Setup’ link or the ‘Page Setup’ icon (pagelayout.png) which is the third icon from the top.

zoho-writer-header-footer1.jpg

The Headers/Footers that are defined will show up fine when the document is printed. These will also be intact when you ‘Export’ the document to PDF/DOC.

Spell Check in 43 Languages:

The enhanced spell checker now supports 43 languages. This means, no matter which language you write your document in, you can now spell check the content in that language. Also, the spell check setting is at the document level. This means, you can choose a different language spell check for each document.

zoho-writer-spell-checker.jpg

Other Enhancements:

Apart from these features mentioned above, there are several enhancements as part of this update. These include…

zoho-writer-chinese-1.jpg

  • Improvements have been to made to Import/Export of .doc files.
  • The documents that you make as ‘Public’ can now be downloaded & also sent to your friends by email in different formats. Also, whenever someone comments on your public document, you’ll receive a notification mail informing the same.
  • Zoho Writer is now available in Chinese too, taking the tally of UI language options to 11.

Do give these features a try and let us know what you think. We are really looking forward to hearing your feedback.

Update : Zoho Plugin for Microsoft Office

We are pleased to announce several new enhancements to our Zoho Plugin for Microsoft Office. Users can download the new version of the plugin here. The salient features of this update are :

Option to keep a local copy

This is a nice little feature wherein users can keep a local copy of the existing document/workbook that is available in Zoho Writer & Sheet. To achieve this, users just need to enable the check box “Keep a local copy” when they are logging in to access their documents from within Microsoft Word/Excel.

There is also an option to create a new Zoho account from the Zoho Plugin credentials page. Click on the “New Zoho User? Sign Up” link to set up an account with us. This is for the users who have downloaded the plugin but are yet to sign up for Zoho Services.

ahmed_signin

Added a new tab - Local Documents

Now that the users can have a copy of the online document/workbook in their local drive, there is a new tab “Local Documents” added to the “Add-Ins” option in Word/Excel. Users can access the local copy by clicking on this particular tab. Locally downloaded documents/spreadsheets are password protected now. Users are asked to provide Zoho account password when opening a local copy of the document/spreadsheet. The enhanced security is to prevent unauthorised access.

Users also have the option to delete the local copy. Click on local documents tab from Add-Ins, select the document & choose delete button to perform the above operation.

ahmed_embedDoc

Offline editing of documents/workbooks

User can now edit their documents/workbooks offline using the local copy and can sync up the updated offline version with the online version of the document/workbook in Zoho Writer/Sheet by connecting to the internet, signing in to their Zoho account from the Add-ins tabs in Word/Excel and then choosing the option “Save in Zoho Writer/Sheet”.

Multi-user Support

Our earlier version of Office Plugin did not allow the guest user of Windows to access the documents/workbooks. Now guest users (as opposed to only allowing users with Administrator privileges previously) who have an account with Zoho can access & edit their documents/workbooks in MS Word/Excel.

Do have a go at the enhanced Zoho Office Plugin and let us know your feedback.

Zoho Office Plugin Updates

We are pleased to announce several new enhancements to our Zoho Office Plugin. Users can download the new version of the plugin here. The salient features of the plugin updates are:

Option to keep a local copy

This is a nice little feature wherein users can keep a local copy of the existing document/workbook that is available in Zoho Writer & Sheet. To achieve this, users just need to enable the check box “Keep a local copy” when they are logging in to access their documents from within Microsoft Word/Excel.

There is also an option to create a new Zoho account from the Zoho Plugin credentials page. Click on the “New Zoho User? Sign Up” link to set up an account with us. This is for the users who have downloaded the plugin but are yet to sign up for Zoho Services.

Earlier version of Office Plugin did not allow the guest user of Windows to access the documents/workbooks. Now guest users (as against only users with Administrator privileges previously) who have an account with Zoho can get their documents/workbooks in MS Word/Excel.

Do have a go at the enhanced Zoho Office Plugin and let us know your feedback.

NaNoWriMo : Pen your novel using Zoho Writer/Wiki

It’s that month of the year when you try your hand on writing a novel - the National Novel Writing Month. Why not try it this year with Zoho Writer or Zoho Wiki? A few screenshots with explanation of how you can go about in organizing your novel in Zoho Writer/Wiki.

My sample novel is divided into 3 Books. Book 1 consists of 3 Chapters, Book 2 - 2 chapters and Book 3 - 3 Chapters. Each Chapter is a Zoho Writer page

I tag each Chapter with a common tag, ‘nanowrimo’ and with the Book which it belongs to

Clicking on each tag, I now use the ‘Add tag as folder’ option. The folders get added to the left panel. It now becomes easier for me to navigate to each Book and its Chapters

And all the Chapers / Books of the novel are available under the common nanowrimo tag (folder) too

Try using the newly released Mozilla Prism. You get to use the entire real-estate of your monitor screen area. No distractions offered by a typical browser as well.

Alternatively, you can use Zoho Wiki instead of Zoho Writer for writing and organizing your novel

Once you complete the novel, you can publish it to the world using the easy publish options available in Zoho Writer and Zoho Wiki (making the Wiki as public). Your comments are welcome on other possible ways that Zoho can help authors in writing a novel this November. Enjoy NaNoWriMo with Zoho -)

Web Apps & Collaboration: The Big Picture

Collaboration and Web Apps: The Big Picture

Previously, I talked about Collaboration being one of the key features of web applications. In this post, I want expand more on that point.

I am sure all of us agree that the key advantage of web based applications is Collaboration. There are other advantages like mobility etc. But thats for another post. Lets look at how collaboration is evolving in online applications. Before that let us look at communication applications first and later we shall talk about their role in collaboration.

Communication Apps:

Today we use different types of communication tools on a daily basis. These tools include Discussion Forums, Email, IM, Audio Conferencing, Video Conferencing, Web Conferencing etc. Some of these tools are used along with others for better/effective communication. Each of these communication tools are intrusive than the other. Forums are less intrusive than Email which is less intrusive than IM which is less intrusive than Audio Conf etc.

Collaboration Tools:

With the advent of web applications we have seen a different type of collaboration with ‘Collaborative Editing’ on content where multiple users can work on the same application/content at the same time seeing each other’s changes immediately. In this case, all users are (literally) on the same page working on the content making collaboration effective with out the hassle of emailing attachments and managing versions.

These ‘Collaborative Editing’ and ‘Virtual Whiteboard’ type of functionalities in web applications is just the stepping stone for more broader and deeper integration. These features mark a significant change in the way we work. Instead of emailing attachments, we email a link (Remember, Document is a URL). The communication tools like Email, IM etc are used for the right purpose - to communicate the changes and not for pushing the content.

Collaboration + Communication Tools

What we will see next is a combination of collaboration and communication tools. Each of the communication tools I mentioned will be integrated into web applications that focus on collaboration. A user might prefer one type of communication than the other. So it is important for web apps to provide different types of communication tools for effective collaboration.

In fact we already see this happening in our own applications. Email is integrated into Zoho Writer where you can email a document (selecting a format) directly from the application.

Similarly, Zoho Chat is integrated into Writer/Sheet/Show/Notebook etc enabling instant communication.

With the recent addition of Comments feature in Zoho Writer, a mini discussion forum is integrated to discuss the comments…and then in Zoho Notebook, we have integrated Skype for audio and video communication. You’ll see other communication tools eventually integrate into such web applications.

We certainly see this as the direction web applications will evolve integrating different types of communications in multiple ways. Instead of content revolving around communication tools, the communication tools will now revolve the content.

Zoho Integrated into G.ho.st

Online O/S vendor G.ho.st has integrated Zoho Writer, Sheet and Show into its virtual desktop application giving users the ability to open, edit and save their documents using Zoho while providing 3Gb of free online storage. The partnership is another great example of the use of Zoho’s API’s and the openness of our Zoho Alliance Partner Program (ZAPP). We are extremely pleased with the integration and welcome G.ho.st to our family of Alliance partners. G.ho.st plans on expanding its offerings in the near future making its virtual desktop a browser-based alternative to MS Windows - and Zoho’s collaboration and sharing functionality makes it a great fit.

Thank you G.ho.st team for choosing Zoho and for joining ZAPP! Good luck with the launch and we look forward to lots of positive feedback from our users.

Below is a view of a Zoho Writer document in G.ho.st.

Offline Support & Comments in Zoho Writer

We just rolled out an important update to Zoho Writer. This update includes two important features. Offline support & Comments.

Offline Support:

We are taking our first steps towards offering Zoho Writer offline. With this update, you’ll now be able to access all your documents offline (Mac or PC) in read-only mode. We will offer offline editing capabilities in the coming weeks.

Zoho Writer Offline capabilities is based on Google Gears. Many thanks to Google for a great open source project. We plan to support and contribute to this project.

In Zoho Writer, you’ll now see ‘Go Offline’ link on the top. Clicking on the link for the first time will prompt you to install Google Gears. Once the installation is complete (and your browser restarted), click on ‘Go Offline’ to make your documents (both personal and shared docs) available offline. By default 15 documents are downloaded to be available offline. You can change the options by clicking on the down arrow beside ‘Go Offline’ link to download more documents. To go back online, click on ‘Go Online’ and you’ll be redirected to the online version of Zoho Writer.

Once you download your documents, you can access them @ http://writer.zoho.com/offline whenever you are offline.

This brief video talks about this functionality.

Comments is another useful feature we rolled out in today’s update. You can now add comments within the content of your document by clicking on the new comment button in the toolbar (<
